Module 4: Constituent (Donor) Management focuses on organizing and maintaining an organization’s most valuable asset: its community. In FastFund, the term “constituents” broadly encompasses donors, prospects, board members, foundations, and any other individuals or organizations you build relationships with. Users begin by learning how FastFund’s centralized “Entities” database works, allowing a single profile to be shared across the Accounting, Payroll, and Fund Raising modules to completely eliminate duplicate data entry. The module covers how to create detailed constituent profiles, emphasizing the distinct data fields used for Individuals (like marital status and spouses) versus Organizations (like primary contacts and matching gift policies), as well as managing multiple addresses and communication preferences.
A major focus of the module is database segmentation and specialized tracking. Users learn how to categorize their constituents for targeted outreach using highly customizable Code tables, which include Attributes (personal interests), Classifications (demographics), Roles (board or committee members), and Affiliations (civic groups). Additionally, the module explores how to manage specialized donor types. By simply checking a specific code tag on a profile, users unlock robust, dedicated management tabs for Alumni (to track degrees and class years), Members (to track dues and expiration dates), and Volunteers (to track specific skills, availability, and assignments).
Finally, the module teaches users how to cultivate long-term donor relationships and review giving histories. Users learn to track donor engagement by utilizing “Action Codes,” which function as a tickler system to log past meetings, track moves management, and set automatic future reminders. The module concludes by showing users how to link constituent profiles together (such as spouses, children, or business partners), and how to access real-time Donor Summaries and detailed Transaction Histories directly from a constituent’s record to gain immediate insights into their giving habits.
