Lesson 2.4: Creating Users

Once your User Groups and general permission structures are established, you are ready to give your team access to FastFund Online. Every user accessing the system must have their own unique Email Address and Password to log in. Because the software tracks all data entry in the Audit Log for internal control purposes, it is critical that employees never share login credentials.

Important Security Note: For strict security, only users who currently hold Company Administration permissions have the authority to add new users or modify existing user access within the system.

How to Add a New User To create a new user profile, follow these steps:

  1. From the horizontal Main Menu, select Administration.
  2. In the vertical Task Menu on the left, locate the USER MANAGEMENT section and click on Users.
  3. Click the New + icon at the top of the list to open the data entry screen.

Completing the User Profile In the New User screen, you must complete all required fields marked with a red asterisk (*):

  • Name: Enter the user’s full name.
  • Email: Enter the email address the employee will use to log into the system.
  • Password & Confirm Password: You must assign a temporary starting password. FastFund enforces strict password protocols to protect your nonprofit’s data. A valid password must be a minimum of six (6) characters long and must contain at least:
    • One upper case letter
    • One lower case letter
    • One number (e.g., 4, 7, 9)
    • One special character (e.g., #, @, %, &) (Example of a valid password: !FAB4beat)

Once you have entered this information, click SAVE.

After saving, the full User Information window will appear. From here, you can assign the user to the User Groups you created in Lesson 2.2, or assign them Individual Permissions as covered in Lesson 2.3. If this new user requires top-level system access, you can check the Administrator box to grant them full Company Administration rights.

Deleting vs. Disabling Users When an employee leaves your organization or no longer requires access, you must revoke their login capabilities.

  • Deleting: You can completely delete a user profile only if the user has never entered any data into FastFund. To do this, open the user’s profile and click the red DELETE button.
  • Disabling: If the user has entered data, their user information is permanently tied to the system’s Audit Log and cannot be deleted. Instead, you must open their profile, check the Disabled box, and click SAVE. A disabled user can no longer log in, but their historical data entry records will remain intact for auditing purposes.
