Lesson 1.4: Navigating FastFund Payroll

To help you work as efficiently as possible, FastFund Payroll Online uses a consistent User Experience and Interface (UX/UI) design. By learning the standard conventions for menus, buttons, icons, and data entry, you will be able to easily navigate through all features and procedures of the system.

Understanding Your Workspace As discussed in the Dashboard overview, your workspace is divided into specific areas:

  • Status Bar: The top bar housing your user information, system module selection (e.g., Payroll), My Account preferences, and support icons.
  • Main Menu: The horizontal menu where you select primary functions like Lists, Transactions, and Reports.
  • Task Menu: The vertical menu on the left margin that changes dynamically to display sub-menu items based on your Main Menu selection.
  • Main Work Space: The central area where all open windows, transaction screens, and data entry forms appear.

Essential Buttons and Icons FastFund uses standard icons to help you manage your data:

  • New +: The plus sign icon is used to add new items throughout the system, such as a new employee, pay type, or adjustment.
  • Save: Posts your new data or updates to the database.
  • Delete: Removes items or records from the system (provided they do not have posted transaction history).
  • Transaction Icons: When working in transaction screens, a Grid Icon with a Green Plus Sign is used to add new transaction lines. A Grid Icon with a Red Minus Sign clears all transaction lines.
  • Print Icons: When generating reports, you will see icons to output the data as HTML, PDF, Excel, or .CSV files.

Transaction Entry Buttons Every transaction entry screen uses standard buttons to process data:

  • Save & New: Posts the transaction and immediately clears the screen so you can enter a new one.
  • Save & Close: Posts the transaction and closes the data entry window.
  • Apply Allocation: Opens a list of preset cost allocations to quickly distribute transaction amounts.
  • Reset: Clears the information currently on the screen.
  • Cancel: Exits the transaction window without saving your work.

Data Entry Rules and Features

  • Required Fields: Throughout the system, all required data entry fields are marked with a red asterisk (*). If you leave one of these fields blank, the system will prevent you from saving and alert you that the entry is incomplete.
  • Drilling Down: If you hover your mouse over specific fields in Lists, Transactions, or Registers, an Edit box or hint will appear. Clicking on this data allows you to “drill down” to access the original record for review or editing.
  • Filtering: Most lists and reports include a Filters feature, allowing you to isolate a specific group of items (like employees in a certain department) to make viewing and editing much faster.

Screen Responsiveness FastFund is a fully responsive application, meaning the layout will automatically adapt if you switch from a desktop monitor to a tablet or smartphone. As the screen size reduces, the vertical Task Menu on the left will be hidden. To bring it back on a smaller screen, simply click the Hamburger icon (three horizontal lines) located in the top right-hand corner.
