Lesson 10.3 – Campaign Performance Reports

Welcome to Lesson 10.3! After diligently setting up your funds, campaigns, appeals, and gifts, and entering your daily donations, you must be able to measure the success of your fundraising efforts. FastFund Raising provides built-in Campaign Reports that help you measure the effectiveness of your fundraising campaigns and provide proper stewardship of donor funds.

In this lesson, we will explore the different types of campaign reports, how to track your progress against your financial goals, and how to export this data for your board or management team.

1. Summary vs. Detail Reports

FastFund Raising divides its Campaign Reports into two distinct categories:

  • Summary Reports: These reports provide a high-level aggregate view, listing the total combined donations received for a specific period of time. They are ideal for quick performance snapshots and board presentations.
  • Detail Reports: These reports provide a granular, line-by-line listing of all individual donation transactions received for a specific period of time. They are ideal for auditing and reconciling specific fundraising events.

2. The Fund Summary Report

One of the most valuable tools for analyzing your overall fundraising health is the Fund Summary Report. This report summarizes the total donations received for each campaign that is linked to a specific fund.

When you generate a Fund Summary Report, FastFund displays several key data points to help you evaluate your performance:

  • The total number of donations received for the campaign.
  • The total dollar amount donated.
  • The Campaign Goal (which you established when setting up the campaign).
  • The Variance between the campaign goal and the actual amount raised, allowing you to instantly see your surplus or shortfall.
  • Each campaign’s percentage of the total fund.

To print the Fund Summary Report:

  1. From the Main Menu, select Reports, and under the Campaigns section, select Fund Summary.
  2. Enter a Date Range (the system defaults to the current fiscal year to the current date).
  3. Select the specific Fund from the drop-down list.
  4. Click GENERATE REPORT.

3. Appeal and Gift Detail Reports

When you need to see exactly who gave to a specific event or cause, you will use the Detail reports.

  • Appeal Detail Report: This provides a detailed listing of all donations received for each selected appeal within your specified date range.
  • Gift Detail Report: This provides a detailed listing of all donations received for each specific gift designation.

Just like the summary reports, you access these by navigating to Reports > Campaigns, selecting either Appeal Detail or Gift Detail, entering your desired date range, and selecting the specific appeal or gift from the drop-down list.

4. Exporting Report Data

FastFund allows you to easily extract these reports from the system so you can share them with your team or perform further calculations.

After generating a report, you will see icons representing different file formats at the top of the report window. You can export your campaign reports as:

  • A PDF File (.pdf) – Best for printing or emailing secure, formatted documents.
  • An Excel File (.xlsx) – Best for manipulating the data or performing additional mathematical analysis in a spreadsheet.
  • A CSV File (.csv) – A raw data text file.
