Lesson 10.2 – Donor and Contribution Reports

Welcome to Lesson 10.2! Entering transactions accurately is only half the battle; extracting that data to analyze giving trends and recognize your supporters is where FastFund Raising’s reporting tools truly shine.

In this lesson, we will explore the specific reports found under the “Donors” reporting menu, which are designed to give you both granular details and high-level summaries of your constituents’ contributions.

1. Accessing Donor Reports

To access reports focused specifically on your constituents’ giving histories, select Reports from the Main Menu, and look under the Donors category. Like all FastFund reports, you can filter these reports by date ranges, specific transaction types, and export the final results into PDF, Excel (.xlsx), CSV, or HTML formats.

2. Donor Donation/Receipt Detail Report

If you need a granular, line-by-line accounting of a constituent’s giving, you will use the Donor Donation/Receipt Detail Report.

This report provides a comprehensive listing of all completed transactions received from a donor, including cash gifts, cash receipts, pledge payments, and in-kind donations. The report output displays the donor’s name and address, the transaction date, type, reference number, appeal name, gift designation, and the total deductible amount.

Important Note: This report focuses on actual receipts. If you need a detailed list of open or paid Pledges for a donor, you must use the Donor Pledge Detail Report located under the separate Pledge Subsidiary menu.

3. Donor Summary and Trend Analysis Reports

If you do not need to see every individual check a donor has written, but rather want to understand their overall giving habits, FastFund offers two powerful summary options:

  • Donor Summary Report: This report provides a high-level snapshot of a donor’s value to your organization over a selected date range. It clearly lists their First Donation (date and amount), Last Donation (date and amount), Largest Donation (date and amount), and their Total Donation Amount.
  • Multi-Year Trend Analysis: This report is excellent for analyzing donor retention and identifying giving patterns over time. When you run this report across a multi-year date range, it breaks down the donor’s total donation amount for each year in that range, allowing you to easily see if their giving is increasing or decreasing year-over-year.

4. Soft Credit Detail Report

If your organization utilizes soft credits to recognize individuals who facilitate donations (such as board members, peer-to-peer fundraisers, or matching gift employers), tracking this influence is critical for proper stewardship.

The Soft Credit Detail Report provides a clear picture of how donations are being secured on your behalf. It lists both the constituent who received the soft credit recognition and the actual donor who wrote the check. The report details the transaction date, the original gift and appeal, and the specific amount of the soft credit, ensuring you can send the appropriate acknowledgments to the people advocating for your mission.
