Practical Activity: Cleaning Up Duplicates

Objective: Merge a duplicate Other Name record into a master record to consolidate history.

1. Create a Duplicate: Go to Lists > Entities > Other Names. Create a new record named “Office Depot Duplicate” and save it. (Assume you already have a main “Office Depot” record; if not, create that too).

2. Add a Note: Add a test note to “Office Depot Duplicate” (e.g., “Wrong record created by mistake”) so there is data to merge.

3. Execute Merge:

    ◦ Navigate to Utilities > Data Management > Merge Names.

    ◦ Select Entity Type: Other Name.

    ◦ Merge From: “Office Depot Duplicate”.

    ◦ Merge To: “Office Depot” (or your main record).

    ◦ Check Delete After Merge.

    ◦ Click Merge.

4. Verify: Go to the main “Office Depot” record and click the Notes tab. Verify that the note from the duplicate record now appears there.
