Practical Activity: Creating a “Cash Only” Balance Sheet View

Scenario: Your Treasurer wants a simplified Statement of Financial Position that groups all your various bank accounts (Operating Checking, Payroll Checking, Savings, Petty Cash) into a single line item called “Cash & Equivalents.”

Objective: Create a Set to group these asset accounts.

1. Navigate: Go to Reports > Reporting Tools > Set Manager.

2. Create: Click New +. Name it “Treasurer Summary”. Click Save.

3. Open Criteria: Click Set Criteria.

4. Select Segment: From the dropdown, select Current Assets.

5. Create Group:

    ◦ Click New Accumulator +.

    ◦ Name it “Cash & Equivalents”.

    ◦ Select Group (to show a single line total). Click OK.

6. Populate Group:

    ◦ Find your individual cash accounts (e.g., 1000 Operating, 1010 Payroll).

    ◦ Click the Navigator Box (dots) next to each cash account and drag it under the “Cash & Equivalents” accumulator folder.

7. Save: Click Save.

8. Run Report:

    ◦ Go to Reports > Financial Statements > Statement of Financial Position.

    ◦ In Set Selection, choose “Treasurer Summary”.

    ◦ Generate the PDF. Notice that your individual bank accounts are gone, replaced by a single “Cash & Equivalents” line.
