Module 9 – Overview

Module 9: Utilities & Data Management provides the essential tools to maintain a clean, efficient, and well-organized database. Rather than entering every record manually, users learn how to streamline their workflows by importing bulk constituent names and contact information using standardized CSV templates. The module also covers how to export your constituent database into CSV files, which is particularly useful for executing mail merges for letters and labels, or analyzing data in spreadsheet programs and third-party applications.

A significant focus of the module is database hygiene—specifically, identifying and resolving duplicate records. Users learn how to run system algorithms to find duplicate names and shared email addresses, which is critical because FastFund relies on email addresses to accurately match online donations to the correct constituent. Because FastFund enforces strict accounting controls, a duplicate constituent that already has a history of financial transactions cannot simply be deleted. Instead, the module teaches users the “Merge Names” procedure, allowing them to safely transfer all transactions, notes, and actions from the duplicate into a primary record before the duplicate is removed.

Finally, the module explores system tracking and advanced data extraction. Users learn to monitor the Email Log to review a history of all digitally sent donor receipts, and administrators explore the Audit Log, which silently tracks every system addition, modification, and deletion (including the exact user and IP address) for total accountability. The module concludes by teaching users how to build powerful Custom Filters and Queries using Boolean logic (AND/OR statements). By mastering these filters, users can deeply segment their database, target specific donor groups, and follow strict database rules—such as always applying the “Address Select Is Equal to True” criteria to generate precise, duplicate-free mailing lists.
