Module 4 – Overview

Now that your financial structure is in place, Module 4 focuses on populating your system with the “who” of your organization—the people and companies you serve and do business with. You will learn how to leverage FastFund’s unique shared entity database, which allows a single person or company to act as a donor, vendor, and employee without needing duplicate records.

Here is a quick summary of what you will learn in this module:

  • Creating Custom Codes: You will learn how to build custom tags (such as Attributes, Affiliations, and Classifications) to categorize your entities. This makes it easy to filter your database for targeted mailings and specialized reporting.
  • Vendors, Clients, and Other Names: You will explore how to set up the three main accounting entities. This includes tracking Vendors for Accounts Payable (complete with 1099 tracking), configuring Clients for Accounts Receivable (setting payment terms and credit limits), and using “Other Names” for one-time or miscellaneous payees.
  • Merging and Managing Data: To keep your database clean and reliable, you will learn how to identify duplicate entity records and safely merge them together without losing any valuable transaction history or notes.
  • Project Tracking: You will learn how to create Project codes to track revenue and expenses for short-term activities, such as specific grants, fundraising events, or renovation jobs, without cluttering your main Chart of Accounts.

By the end of this module, your database will be fully organized and populated with your essential contacts, preparing you to handle billing and daily transactions.
